Office rentals: Viewing the premises

Once the company has determined what kind of area, office building and space solutions it wants to look for, it is time to start exploring potential properties. It may also be a good idea to invite a person in charge of the company’s brand and marketing, along with a staff representative, to attend the viewing of the premises. The viewing offers an opportunity to get a sense of the premises’ atmosphere and to present the most important questions with regard to renting the premises.

Find out the following matters during the viewing: 

1. Brand image: What kind of impression do the spaces, the milieu and the surrounding companies create? What are the views out of the office windows like and what is the image of the area like? Do the space solutions enable a brand-compliant look and atmosphere? 

2. Space solutions: How do the spaces meet your needs and how flexibly can they be used for different purposes? Do the premises offer enough quiet spaces and interactive meeting spaces? What shared areas does the building have? 

3. Building technology: The draws of on-site work include good work ergonomics and optimal working conditions – do the property’s communication systems, lighting and ventilation meet your quality requirements? 

4. Transport: How do the transport connections to the property serve staff, customers and other stakeholders? Are there enough parking spaces and charging points for electric cars? Do the facilities and the area support cycling to work? 

5. Services and maintenance: What services does the property offer and what additional costs do they bring? What kind of services can be found in the immediate vicinity – what necessary services are missing from the property and the area? 

6. Modification work: What kind of renovations do the premises require, what kind of changes can be made to the premises and how are the costs distributed? Do the premises need to be reverted to their original condition after moving out? 

7. Sustainability: How energy efficient is the property, is renewable energy available and what are the possibilities for sorting and recycling waste? Does the property have environmental certification? How does the lessor support the sustainability of its tenants? 

8. Security: How are the premises guarded and is an accessible access required? Is there a lobby service? What access management and facility booking systems does the property have, are the facilities easy and safe to navigate? 

9. Lease agreement: What services are included in the lease agreement and rental price in addition to the space? What additional costs may occur and how are rent increases determined? What is the timetable for the relocation? 

10. Lessor: Does the lessor have additional spaces that allow the company to scale? What about coworking spaces that enable hybrid work? What added value does the company bring to the tenant with its services and know-how? 

Often at this stage, as needs become clearer and opportunities become more concrete, things crop up that were not originally thought of. In this case, it is a good idea to take a time-out and think about how new solutions will affect the overall plan and the office facility budget. 

During the viewing, make sure to take advantage of the expertise of the facility professional. Professionals in the field have strong knowledge of space solutions in different industries and the new needs of today’s employees. If the premises feel attractive, you can ask the lessor whether you can visit the finished premises of another company operating in the same building.
